Auxiliary Minutes
Deb
Morris, secretary, read the minutes from the last meeting held on
Nichole
read the letter about showing rules that was created and sent to the Board of
Directors. The letter re-enforced
the rule about members attending meetings and projects before the can show at
the Fall Celebration. A valid
spreadsheet with members that are eligible to show will be at the entry office
for all shows. The spreadsheet will
be attached to the minutes and it is the members’ responsibility to make sure
it is correct. Each member must
sign in at all meetings and projects so that the Auxiliary’s secretary can
update this spreadsheet. If at any
time a member finds a mistake they need to contact the secretary immediately.
The
Auxiliary rules are that a member’s dues be paid by the end of the Shelbyville
Classic horse show. This year this
rule will be enforced at the Fall Celebration so make sure the Auxiliary’s
secretary has received your dues.
Glenda
Barrow, treasure, handed out a treasure report to all members.
Glenda stated that the only change on the report was that the check for
$200.00 to the futurity as not recorded. As
of February 15, 2006 we have a balance of $2,465.19 Gwenn Frederick made a
motion to accept, Barb Agnich second. Motion
was approved.
The
money we collected at Fall Celebration for the Red Cross has been deposited in
the bank. We are going to keep the
money until someone finds a worthy cause where the money will really make a
difference. If you have a good idea
where to use this money please bring it to our attention at the next meeting.
A
motion to cancel the Sweepstakes was made by Gwenn Frederick, second by LeeAnn
Musick. Motion was passed.
We
no longer have a Web Site so the secretary will send the minutes to the Breeders
Office and it will be posted on their Web Site.
Gwenn
made a motion to have a hamburger and hot dog cookout on Friday night of the
Shelbyville Classic. Motion was
seconded and approved. Deb Morris
is in charge of this function and will need help.
Let her know if you have a grill that can be used and if you are willing
to help cook.
Also,
it was decided that the Junior Auxiliary be in charged of the games after the
show on Friday night of the Shelbyville Classic.
This motion was also approved.
Glenda
stated that after the Consignment Sale at the Fall Celebration there were lots
of clothing left. She has it so if
anyone if missing anything talk to Glenda.
A motion was made and passed that from now on after a Consignment Sale
anything left would be given to the Breeders Office and they could take it to
any charity that they felt would benefit from it.
The
pizza party will be held during meeting at the Fall Celebration.
The lunch at the Fall Celebration will be conducted the same as last
year. The Auxiliary will furnish
the chicken, potato salad, slaw, rolls and plates.
We will need someone to contact the hotels about donating the drinks.
Each member needs to bring a dish to accommodate the menu.
Kathy
Huff will be the Chair person for the Barn Beautification at the Fall
Celebration. If you are interested
in helping with this project contact her.
LeeAnn
Musick will be in charge of purchasing the awards for the top 5 winners in each
class. She will submit a budget at
the Spring Celebration. Anyone with
ideas on this subject need to contact LeeAnn.
Nichole
explained how we can make money by passing out Pizza Hut coupons at the Spring
and Fall shows. If the coupon is
used we will receive a percentage of the money.
See Nichole at the show to receive your coupons and be sure to give them
to everyone you see.
A
motion was passed to increase our yearly dues from $10.00 to $15.00 starting in
2007.
We
had to submit 3 names for judges and 1 alternate for the Spring show.
The names we submitted were: Randy
Moore, Kelly France, Terry Stone and Mike Etheredge was the alternate.
Next
meeting will be held at the Spring Celebration on Saturday right after the
Consignment Sale, approximately
